Three Tips to Stop Your Admin Piling Up

Smiling businessman using laptop and digital tablet while working remotely from home office.
Stop the build-up and backlog of admin tasks in three easy steps.

What I've noticed about how admin builds up during a busy week is that we tend to think it's important... just not a priority.

Because it interrupts client work or whatever feels most urgent, it gets pushed aside with every intention of coming back to it later.

I've been guilty of this myself.

I'd leave one or two emails unread each day, telling myself I'd deal with them later. By Friday, those once low-priority emails had turned into several urgent ones. It was never the best way to end the week when I should've been finishing tasks, not starting them.

The fact is, it's rarely one big job that causes the stress.

It's the slow build-up of lots of small ones.

  • Unread emails.

  • CRM updates.

  • Documents waiting to be filed.

  • Invoices to log.

  • Follow-ups you meant to send.

None of them feels urgent on its own.

Together, they can feel surprisingly overwhelming.

That’s why the way we manage admin processes is so important to productivity. It's not about working harder, it's about stopping those small tasks quietly building up in the first place.

So how can you stay on top of your admin without compromising productivity?

Here are my three tips to help you stop your admin piling up.

1. Don't ignore the small stuff

Notice the little admin tasks that are being pushed aside because they don't feel urgent.

Individually they might only take a few minutes, but they can quickly pile up if you keep putting them off.

But regular and timely management of admin is a critical business practice, so:

  • Schedule a block of fifteen to thirty minutes a day or a week to manage your admin.

  • If a task takes less than five minutes, deal with it straight away rather than letting it pile up.

These two actions help stop essential admin from getting out of control and prevent small tasks from piling up.

2. Notice which admin tasks are taking longer than they should

The longer a task takes, the more time you're spending on something that's taking you away from other important work.

It can be frustrating when an essential admin task is taking up more of your time than it should, especially when it’s a task you have to deal with regularly.

Pay attention to any admin tasks that regularly take up more time than you expect or would like. Make a note of them so you can identify which tasks may need a closer look to see if there’s a better way of doing them.

3. Look at how the task is being handled

Sometimes it’s not simply about having too much admin, it’s also about how it’s handled.

You might be using several systems, entering the same information more than once or following a process that's more complicated than it needs to be.

Clunky systems and processes that involve unnecessary steps or complicated workflows can often be simplified, making them easier and quicker to manage.

  • Take one admin task that's causing frustration and look at the process from start to finish.

  • Bullet-point the steps involved using just a few words for each step.

  • Then look for any unnecessary steps, duplication or other ways the task could be made quicker and easier. Ask yourself: Is there a simpler way to do this?

You may find that part of the process could be removed, simplified, automated or delegated.

Bonus tip

While you’re doing all this you may still have to deal with the backlog of admin that’s been building up during your busy weeks. So, here’s a quick bonus tip on how to clear the backlog.

  • Get started on managing your admin backlog, by scheduling 15 to 30 minutes a day, or 1 to 2 hours a week. Stick with it and continue until you’re caught up.

With small, consistent efforts each day or each week, you can gradually clear the backlog and get back on track.

Good management of your admin is essential to the smooth running of your business.

I know how hard it can be to keep on top of it, especially as your business grows. But I also know it’s possible by managing it consistently in small, manageable chunks.
