Stay organised and in control: five tools every small business owner needs for admin tasks.

When it comes to managing essential admin tasks, busy small business owners often feel inundated and weighed down.

These daily routine tasks, although essential, can hinder your overall productivity, requiring both time and organisation to complete. Without these, it’s easy to miss or delay important tasks, such as managing emails, overseeing expenses, and tracking invoices.

But you shouldn’t have to worry about it. I can help you streamline your routine admin tasks and boost productivity.

The key is to set up effective productivity tools.

Here are five tools that will help you.

  1. Project Management Platforms

Implement software such as ClickUp or Trello to help you organise tasks, collaborate with your team and track task and project progress.

  2. Customer Relationship Management (CRM) System

Use a CRM to manage customer data and customer interactions, as well as tracking leads and streamlining sales processes. I personally use Capsule. If you need a more advanced system that, for example, integrates email marketing with a fully featured CRM, options like ActiveCampaign and HubSpot are worth considering.

  3. Accounting Software

Software such as Xero or QuickBooks can organise and optimise your bookkeeping, invoicing and financial reporting.

  4. Cloud Storage and Collaboration

Use services like Microsoft 365 or Google Workspace which include applications for file storage and sharing, document collaboration and team communication.

  5. Time Tracking Tools

With apps like Toggl or Clockifiy, you can monitor how you spend your time and identify areas for improvement. Some project management tools, such as ClickUp, can integrate with these time trackers.

Getting and staying organised with your tasks and projects, whether operational or strategic, is crucial for a productive small business. Your business needs the proper care and attention that these tools provide to continue growing and become even more successful.

It certainly takes time to research and set up these systems, but I know it can be done. I’ve done it myself, and it truly is a short-term effort that will streamline and accelerate your business for the long-term.

I’ve saved my clients hundreds of hours and freed them from time-consuming routine admin tasks. That’s because I take on those tasks for you, saving you the worry and the time, all while knowing that your admin is being professionally managed.

If you’d like help in setting up and managing data across these must-have productivity tools, I’d be happy to help.
