Effective time management is one of the most difficult challenges that a busy small business owner faces. You're juggling tasks, clients, lifestyle and unanticipated situations as best you can, but in no particular order. The result of this poor time management is the build-up of tasks, making business operations feel chaotic and causing stress. You’re busy, but not very productive.

Tip #3

Schedule Tasks and Activities in Blocks of Time

Time-blocking entails allocating specific blocks of time to action your tasks, where each block of time focuses on a single task or type of task. It stops you from multitasking, which often leads to mental chaos and unfinished work, and instead helps to create routine, keeping you organised and focused.

 

Here’s how it works:


  1. Group your activities: Break down your activities and tasks into groups, such as client work, strategy sessions, marketing, finance and admin. You can even include lifestyle activities as a group, such as going to the gym or visiting the dentist.


  2. Batch similar tasks: Once activities have been grouped, divide them further into related tasks for each group. Your admin group could be divided into tasks such as sending invoices, followed by recording your expenses and reconciling your bank transactions.


  3. Schedule single tasks at a time: Plan your tasks as daily, weekly, monthly or one-off sessions, which recur in15-, 30- or 60-minute blocks—e.g. check your emails once a day for up to 30 minutes, or you could schedule your admin activity block once a week for up to 2 hours and split that time across your various admin sub-tasks.


  4. Lock out that scheduled time: A reminder of my previous newsletter on managing interruptions. Make your blocked time non-negotiable and interruption free by setting your notification status to “Do not disturb” and letting those around you know the times you’re unavailable (unless it’s urgent, making it clear what constitutes an emergency).


Effective time management is critical for any small business to succeed. You need it so you can stay in control, be more productive and complete tasks on time. Without time-blocking, your time will become more hectic and stressful, leaving you with little to show.
