  • Adopt a cloud-based document management system like Dropbox, OneDrive or Google Drive so you can:


    • Store, access and share your documents from anywhere and on any device, making remote work easier and seamless.

     

    • Synchronise and work with team members and clients in real-time on documents, allowing immediate updates and feedback.

     

    • Enhance security with built-in security features that protect sensitive information, including encryption and access controls.

     

    • Regularly back up files from your hard drive to ensure easy retrieval in case of any issues.


  • Set up a standardised filing system for easy categorisation and quick retrieval.


    • File documents promptly to your hard drive, cloud storage or physical filing system. If you leave them attached to emails or stacked up unattended on your desk, you’re inviting security risks, loss and chaos.

     

    • For digital documents, establish a consistent naming format to improve organisation and retrieval. For example, you might use the format:

      ClientName_ProjectName_DocumentType_Date_Version.


      This would look like:

      “SmithsLtd_MarketingStrategy_Proposal_2023-03-17_v1."

     

    • When filing, organise documents into categories. For example, create Client folders divided by project, or organise Project folders by client.
