One of the most common challenges that small business owners face is dealing daily with routine administrative tasks that distract from core growth activities.

 

The sheer volume of emails, customer data, expenses and invoices can be overwhelming, especially as your business grows. This can lead to important tasks falling through the cracks or being delayed — not to mention you stressing out.

The way to stay on top of your admin tasks is to implement a task management system, using project management tools.

 

There are many popular project management tools, such as ClickUp, Asana, Trello, Monday. I recommend researching the various tools available to find the one that best suits you and your business.

 

Once you’ve decided which one to use, follow these ten tips to implement a task management system that will help you crush the chaos:


Implementing a Task Management System


  1. Define your objectives: Start by identifying what you need the tool to help you with. In this case, you’re looking to manage and organise admin tasks.

     

  2. Organise your tasks into categories: Put your tasks into categories or groups. For instance, this might include a finance group, where you can create an admin category, e.g. invoice management.


  3. Set up clear tasks and subtasks: For each category, create clear tasks with deadlines. Then split these tasks into small, manageable subtasks, in order to track progress more effectively.


  4. Prioritise tasks: Implement a basic priority system. Assign priorities as “urgent”, “high”, “normal” or “low”.


  5. Assign deadlines and set reminders: For each task, set a realistic deadline and enable reminders.


  6. Update and track progress regularly: Review the status of your tasks daily and adjust priorities as needed.


  7. Start small: Don’t try to set up everything at once. Start with one task, in one area of admin. I’d recommend starting with a daily task, such as email management, and progressing to weekly and then monthly tasks.


  8. Integrate Your Tools: If you’re using other tools, such as emails, calendars or time tracking software, you can integrate them and make it even easier to manage your workflow.


  9. Document your processes: For each task, include step-by-step instructions on how to do the task. This will make it easier to delegate tasks and ensure consistency when handing them over.


  10. Create Standard Operating Procedures (SOPs): Once documented, use these instructions to create a manual of SOPs that can be easily managed and updated as required.
